Preparing your master data for e-invoicing

When a ZATCA e-invoicing go-live slips, the cause is rarely the software — it is usually master data. Missing VAT numbers, wrong tax treatment on products, inconsistent customer records. The good news: this is fixable, and best done before you integrate.

General guidance, not tax advice. Confirm requirements with ZATCA or your advisor.

1. Your own company details

Start with yourself. Make sure your legal name, VAT registration number, and address are correct and consistent everywhere they appear. These print on every invoice.

2. Customers

For standard tax invoices (B2B), the buyer is identified — so your business customers need accurate details, including VAT registration numbers where applicable. Clean up:

Duplicate customer records merged into one.
Missing or malformed VAT numbers.
Inconsistent legal names and addresses.

3. Products and services

Every product or service needs the correct tax treatment — standard-rated, zero-rated, or exempt. This is the single most important field to get right, because it drives the VAT on every line and ultimately your VAT return. Review:

Tax treatment per item, not guessed per invoice.
Consistent units of measure.
Clear names that will read well on a bilingual invoice.

4. Sequencing and numbering

Invoices need a reliable, auditable sequence. If you are migrating from another system or spreadsheets, decide how numbering continues so there are no gaps or duplicates.

5. A quick clean-up method

Export your customers, products, and chart of accounts.
Deduplicate and fix the fields above.
Validate VAT numbers and tax treatment.
Import the clean data into your new system during a guided setup.
