A multi-warehouse inventory guide for trading companies

For a trading or distribution business, stock is the business — and the moment it sits in more than one location, spreadsheets stop coping. Here is how to think about multi-warehouse inventory so availability, transfers, and valuation stay under control.

Why one stock number is not enough

"How many do we have?" is the wrong question once you have multiple locations. The right questions are:

  • How many do we have here?
  • How many across all locations?
  • How many are available to promise versus already committed?

A single spreadsheet cell cannot answer these reliably. You need stock tracked per location and rolled up to a total.

Structure your locations deliberately

Set up warehouses and locations to mirror reality — branches, main store, transit, maybe a damaged-goods area. Clean structure now saves pain later, and is worth doing even before you strictly need it (see migrating inventory from Excel).

Make transfers first-class

Stock moves between locations constantly. Those transfers need to be real, recorded movements — not a quiet edit in a spreadsheet — so that both locations' numbers stay correct and you have a trail of what went where.

Get valuation and landed cost right

Across locations, valuation has to stay consistent, and for imported goods your landed cost (freight, duties, handling) should be allocated into the stock value. Otherwise margins look better than they are. This ties directly to your books — stock value should reconcile with the ledger, which is the core argument for connected finance and inventory.

Connect stock to buying and selling

The payoff of structured multi-location stock is that it plugs into the rest of operations: a sales order checks real availability, a low location triggers a purchase or transfer, and cost of goods is right on every sale. That end-to-end flow is what trading and distribution businesses actually need.
