Most growing businesses run their inventory in Excel far longer than they should — right up until the day the spreadsheet and the warehouse stop agreeing. Moving to an ERP is the fix, and the migration itself is mostly about preparation, not software. Here is a low-risk way to do it.
1. Freeze and count first
Before you move anything, do a physical stock count and freeze it as your opening position. Migrating wrong numbers faster is not progress. Your count becomes the opening stock you load into the new system.
2. Clean the product list
Spreadsheets accumulate mess. Before import, fix:
- Duplicates — the same product entered twice under slightly different names.
- Units of measure — consistent units per product.
- Categories — a sensible structure, not 200 one-off labels.
- Codes — a clean, unique code (SKU) per product.
This is the single biggest determinant of how smooth the migration goes.
3. Decide what valuation you are carrying over
Each product needs an opening cost so your inventory has a value and your cost of goods sold is right from day one. Decide your cost basis and capture it alongside the quantity.
4. Map locations

5. Import in a guided setup
With clean data, the import itself is straightforward: products, categories, opening stock, and costs. Doing this in a guided setup — rather than a blind bulk upload — lets you catch issues before they become live records.
6. Reconcile before you go live
After import, reconcile the system's stock value and quantities against your frozen count. They should match exactly. Fix any gaps before you start transacting.
7. Go live and let it stay accurate
The whole point of leaving spreadsheets behind is that, once live, stock stays accurate automatically — every sale, purchase, and transfer updates it. That is the difference an ERP makes over spreadsheets.
