Charging 15% VAT on one invoice is easy. The hard part is what happens next: hundreds of sales and purchases, each with their own tax, all of which have to roll up into one accurate VAT return. This is where businesses on spreadsheets quietly go wrong.

The flow, step by step
- Output VAT — when you issue a sales invoice, the VAT you charge the customer is output VAT. It is money you owe the authority.
- Input VAT — when you receive a supplier invoice or expense, the VAT you paid is input VAT. Subject to the rules, this can usually be reclaimed.
- Net VAT — for a period, your return is broadly output VAT minus reclaimable input VAT.
- The return — those totals, split by tax treatment (standard, zero-rated, exempt), are what goes on the VAT return.
Where it breaks on spreadsheets
- VAT is recorded on the invoice but never linked to the accounting, so the return is rebuilt by hand each period.
- Tax treatment is inconsistent — the same product is standard-rated on one invoice and zero-rated on another.
- Purchases are missed, so reclaimable input VAT is left on the table.
- Credit notes and returns are not reflected, overstating the liability.
Each of these is a re-keying or memory error waiting to happen — exactly the kind of thing moving off spreadsheets is meant to fix.
How it should work in a system
In a proper ERP, VAT is captured once, on the document, and posts straight to the ledger:
- Every sales invoice records output VAT automatically.
- Every purchase and expense records input VAT.
- Credit notes adjust the figures the moment they are issued.
- The VAT return is built from real posted transactions, not a separate spreadsheet.
That means the return reflects what actually happened, and an audit is a lookup rather than an investigation.
